Due to the tremendous influx of large file attachments, many servers are
running low on drive space and cannot store backups. Lotus Notes is not a
place to store movies, pictures, presentations, audio, jokes and non-work
related items. Work related items over 1,000,000 bytes should be detached
to the local hard drive. If the message is to be kept, delete the
attachment from the e-mail, else delete the e-mail entirely. Please
remove any of the previously mentioned items from their respective emails,

How to Check Your Mail Message Sizes [041130 tcadre/tshingai]
- In R4, start by clicking on the All by Size view in the Navigation Pane
of your mailbox (If you don't have one, send email Help Notes/SRA/HIDOE)
- In
R5 & R6 mailboxes by clicking on Views/All Documents in the Navigation
Pane, and the Size column header. If you have questions or would like

- Start Lotus Notes
- Open the Notes log...
- Method #1: Click the Databases (icon)... Workspace... Notes

Quotas and Consequences [041130 tcadre/tshingai]
Along with many Notes client improvements, new server features include the
ability to track email volume and size.
We will be setting Quotas on
mailboxes (256MB for Administration, 128MB for staff), if certain
individuals need more room, we can raise the limits for individuals (submit position/job
title/function as justification, long justifications will not be accepted). There are 2 quota levels, the
max/limit and warning threshold. You will receive a different notification for each
level.
If you reach the limit, you will not be able to send mail until
you have deleted enough large file attachments. The space reclamation
process runs nightly, so your mailbox will not show the size reduction
till the next day (Note: R6 mailboxes [light blue background/buttons]
have a 48 hour delay unless specifically removed from Trash).
Large
mailboxes and questionable email practices may be subject to scrutiny and
messages may be deleted.
